concerned employees; Manage all the administrative duties including basic correspondence, office
communication, like telephone calls, e-mails, incoming faxes, managing the delivery & collection of documents,
etc.; Assists visitors and callers, handle their inquiries, provide proper information to clients, take messages, or
transfer calls direct them to the appropriate persons according to their needs; Arrange conferences and meetings
for office personnel / Team.

From receptionist I have progressed to a Secretary on Civil Department (operation). My role is to ensures that
company format policies/Department system are followed, and recommend revised forms in accordance with
company and ISO procedures; Arrange and log all document such as (Payment Applications, NPV’s, Sub-contract
Agreements, Subcontractors Payment Applications, Petty Cash, Leave Applications, Memos, Warranties, Invoices,
and other necessary documents for the department head signature; Update projects lists, department
organogram, list of required materials and distribution of team work; Provides clerical & administrative support
to the Managers and the Engineers and perform other related duties as required; Handling and typing memos,
correspondences and other reports, prepares Submittals such as drawings, materials and technical submittal;
Handling ACONEX for downloading & uploading of documents such as approved submittals, IR’s, invoices,
payment applications, and circulating of correspondences and other documents to the concern departments;
Maintains department filing system & record of lists staff and manpower, leave and other requests forms,
photocopying and printing various documents (internal/external) correspondence and other printed material
and circulate to the concern engineers and sends original for filing; Coordinate with the team for schedule and
confirm appointments/meeting; Circulating incoming mails to the concern personnel / department; Circulating
engineer’s monthly progress reports for update and forwarding it to commercial; Distribute & Follow up
payment applications given to the engineer for Client’s approval and certification and Perform other related
duties as required.
